Welcome to CHEO 

We’re excited to have you as part of the CHEO team! 

Our medical staff fill many roles and we want to recognize everyone, new full-time, part-time, consulting and on-call medical staff.  Each of you is important in supporting the patient and families at CHEO, and we appreciate your commitment to our mission. 

Applying for hospital privileges is the next step in your CHEO journey.  This portal contains resources, links and step-by-step instructions which are meant to support you throughout your onboarding experience. Members of the Medical Staff at CHEO include physicians, dentists and clinical PhDs who require Hospital Privileges prior to beginning clinical care as outlined in the Public Hospitals Act.  Privileges are permissions granted to an independent practitioner to provide specific patient care services.  You will find more information in the Must do before your start date section below.

Complete all required credentialing documentation

We know you're excited to get started at CHEO! The first step before beginning your clinical work is to have hospital privileges granted. For this, a complete credentialing file is needed. Please submit the following documentation at least 4 weeks prior to your clinical start date.

Act now! Delays in submitting your required credentialing paperwork will impact when you are able to begin clinical care.

New to Ontario or Canada?

If you are new to Ontario (or Canada), you’ll need to apply for a license through the College of Physicians and Surgeons of Ontario (CPSO). More information can be found on their website at CPSO - Registration and New Members.

Department and University of Ottawa requirements:

  • Please also ensure that you have provided all required information for your contract or partnership arrangement with your Department.
  • Your department administrative assistant is able to assist you with the requirements for your University of Ottawa for your Faculty Appointment if appropriate.

What to wear

No need to wear your finest clothes on the first day - business casual is perfectly appropriate, unless other instructions have been provided to you ahead of time.

Please keep in mind:

  • CHEO is a scent-free environment: Kindly avoid wearing strong fragrances.
  • Dress code & footwear: Be sure to review and follow CHEO’s policies regarding professional attire and appropriate footwear.

Where to go

Your Division or Department Chief or their administrative support  will confirm via email where you should go on your first day. If you have not received this information a few days ahead, reach out to them directly.

How to get to CHEO

CHEO's main campus is located at 401 Smyth Road. You can easily get to CHEO by public transit or car. There are also bike racks spread across the campus. CHEO also has several clinics and programs located in Ottawa, Cornwall and Renfrew. Visit the Map and locations page.

Where to park

If you are coming to CHEO's main campus, you may park in the Visitor Parking - Lot A which is adjacent to the Garry Cardiff Wing (only allowed on Day 1 — refer to Maps and locations page above). If you are coming to another CHEO location, your supervisor will inform you where best to park.

How to protect yourself & others

If you are feeling unwell, we ask that you report your illness through the CHEO Staff and Medical Staff Screening form. This will ensure you are emailed directions about when you can return and how to work self-isolate when you do return.

How to find your way around CHEO

Use our digital map to help you find your way.

Wayfinding signs are typically found at the beginning and end of hallways, as well as next to elevators. You might want to check out this short video before the big day.

Navigation tip: What is referred to as “Level 1” is actually the basement. What is called “Level 2” is actually the main floor.

Where to eat

24/7 food options

  • A Smart Cooler in the Rainbow Cafeteria offers cold meals
  • A Starbucks machine in the Rainbow Cafeteria offers hot beverages
  • Smoothies are available in the CHEO Emergency Department

Visit our cafe or cafeteria

Grab a bite at CHEO's Rainbow Cafeteria or at Oasis Coffee Shop. Both accept cash, Interac and credit. Visit our Maps and Locations page for help finding them.

On the menu:

  • The Rainbow Cafeteria on Level 1 serves hot and cold meals made using fresh, high quality ingredients. It has a sauté station with made-to-order lunch dishes, a sandwich station and a grill, as well as Pizza Pizza products, Timothy's coffee and David's Tea.
  • The Oasis Coffee Shop on Level 2 near the front entrance and across from the main elevators. On the menu: Mr. Sub and Pizza Pizza products, as well as baked goods and Starbucks coffee.

Skip the line! You can place an online lunch order for the Rainbow Cafeteria and pick up your pre-paid items using the Caf-to-go mobile ordering service. This is available weekdays, during the lunch hours.

Connect with your division contact/administrator for detailed instructions regarding your first day and any questions around system access, email etc.

Confirm you have received notification that your hospital privileges have been granted from the Medical Staff Office (mso@cheo.on.ca)

Confirm if your orientation will be on your first day or if it is scheduled for another time

Highlights:

  • Attending mandatory training, if scheduled
  • Picking up your CHEO ID badge
  • Getting set up with your CHEO email address and devices
  • Register for parking

If attending CHEO orientation on your first day

Make sure to pick up your CHEO ID badge at Security and Parking between 7:30-9am:

Security and Parking is located on Level 2, room 2335, in the corridor between Emergency and the X-ray department).

  • You must have submitted your photo to IDcards@cheo.on.ca (not just in Workday) for your badge to be created.
  • This step should be completed first as other services (such as IS, parking, etc.) may require you to show your badge.
  • If you have not picked up your ID badge, Security will distribute badges at 11:30 during the Corporate Orientation.

Important: you must wear your CHEO ID badge at all times when on-site.

Attend the Corporate Orientation and Safety Habits Sessions:

  • Corporate Orientation: 9am-12pm
  • Safety Habits and Joy at Work: 12:30-3:30pm

Your welcome letter provides room location details.

At the end of the Corporate Orientation Day:

The IS team will be available at the end of the day to provide you with your email and network access details. You will need to change your temporary password.

If you have any IS questions or access issues after that, you can reach out to Helpdesk in-person at the window (Level 3 in Max Keeping wing), or by phone at extension 4357It is open Monday-Friday between 8:00am and 4:00pm.

  1. Arrange a meeting time and place with the admin from your division/department
  2. Make sure to pick up your CHEO ID badge at Parking and Security between 7:30-9am:
    • Security and Parking is located on Level 2, room 2335, in the corridor between Emergency and the X-ray department). You must have submitted your photo to IDcards@cheo.on.ca (not just in Workday) for your badge to be created.
    • This step should be completed first as other services (such as IS, parking, etc.) may require you to show your badge.

  3. Visit the IS/IT Helpdesk window with your id badge, phone and laptop computer. The IS team will be able to walk you through getting connected, setting up multi authentication and resetting your temporary network password.
  4. Visit the Parking and Security office to register for parking.

  • Personal & Emergency Contact Information: Ensure your details are up to date.

Tasks to complete

1. Enroll in Health Benefits

Eligible Medical Staff may purchase health benefits through CHEO’s provider. Enrollment must be completed within 30 days of your start date. See benefit info here: Medical Staff Booklet and Pricing

2. Update Your Personal & Emergency Contact Information

Log into Workday to update your personal details, including your mobile/cell number and emergency contacts.

Note: CHEO uses Workday for HR, finance, procurement, and other administrative functions. All medical staff have a Workday profile accessible via the CHEO network.

Your contact information in Workday is used to populate Everbridge, our emergency alert system for major codes.

3. Set Up Your Email Signature

Follow the approved CHEO email signature template to ensure consistency and professionalism in communications.

4. Register for the Employee Family Assistance Program (EFAP)

Create your account with Homewood Health using the access code: CHE902. This program offers confidential support services for you and your family.

During your first month, everything will likely still feel pretty new. Your main focus should be on completing orientation sessions for medical staff, completing the mandatory training requirements and confirming you have read the below CHEO policies, corporate medical directives and any others that pertain to your clinical work.

Highlights:

  • Medical Staff Orientations. The following orientations are available to medical staff:
    • CHEO Corporate orientation (mandatory)
    • Orientation for full-time medical staff with Chief of Staff and Chief Medical Officer. The Chief of Staff and Chief Medical Officer's office will reach out to schedule an orientation for you, if applicable.
    • Division and/or Department orientation
    • University of Ottawa orientation (Division/Department admin to schedule)
  • Mandatory training
  • Corporate Medical Directives and Policies

  1. Attend Epic Training as per registered date/time (if applicable)
  2. Attend the Corporate Welcome session – details in the Your First Day section.
  3. A list of mandatory training for medical staff is available here.
  4. Once you are logged into CHEO, complete your mandatory online modules through Workday Learning:
    • Each individual module must be completed in one sitting. Modules range from 30-60 minutes and it will take about 5 hours in total to complete all of your mandatory modules.
    • Consult with your leader to determine the best way to work this into your work schedule

  5. Attend the in-person Safety Habits training - you can find more info on this (including the link to register!) in the "Your First Day" section.
  6. Complete your role-specific and department/team orientation (as applicable)

At this point, you are probably beginning to feel more comfortable in your position. You have plenty of opportunities to demonstrate your skills and feel like you are truly making a difference. What’s more, you are more at ease with your colleagues, environment, and culture and that makes things a lot easier.

Frequently asked questions

CHEO has a limited number of parking spaces for use by staff, medical staff and learners working on site. If you would like to apply for a parking space, you must bring your valid CHEO ID badge to the Security Office on the 2nd floor of the hospital (near the Emergency department). You will be asked to complete a Parking Enrolment Form.

CHEO also offers a secure bike compound, located beside the Helicopter pad. Go to the Security office to get a key. A cash deposit of $20.00 is required, and $15.00 will be refunded when you return the key.

You can get a locker key from the Security Office (near the Emergency department). A $15.00 deposit is required, and is refunded to you when the key is returned to Security.

Clothing should be business casual, of a length that presents a professional image, clean and in good repair. Sweat pants, tank tops, denim jeans, mini-skirts, short/cycling/sports shorts and leggings are not considered appropriate attire.

Uniforms/scrubs with appropriate pediatric prints are encouraged.

On casual Fridays, staff members who are not required to wear uniforms at work may dress more casually.

To access scrubs, you will need to fill out the OR Scrub Portal form on CHEOnet and confirm size, badge/ID number and unit. Once your registration is processed, you will be able to swipe your badge at the scrub machine to access your scrubs.

If you are having trouble with a computer at CHEO, you must log a ticket with the IS Helpdesk (under “My Apps”.) For urgent support, you can speak to them at x4357 (HELP), leave them a voicemail quickly at x3098.

Scheduling

Questions regarding pay, tax documents, time off, etc. should be directed to your department chief.

Benefits

Medical Staff are able to purchase health benefits through CHEO’s provider. You must enroll within 30 days of your CHEO start date. Please contact HR Benefits specialist Amanda Jolly or Nicole Stanger.

CHEO staff/medical staff along with their dependent family members have access to a full range of health and wellness services as part of our benefits package provided under the Employee and Family Assistance Program (EFAP) through Homewood Health.

CHEO staff/medical staff and their families can call the numbers below any time day or night, 365 days of the years. In an emergency, immediate support is available. Please be assured when you use the program, it is in complete confidentiality.
