Welcome to CHEO

We’re really excited to have you as part of the CHEO team! The resources, links and step-by-step instructions in this portal are meant to support you throughout your onboarding experience - from the time you sign on the dotted line to when you celebrate your first-year anniversary.

Before your start date

We know you're excited to get started at CHEO, but it's important that you fill out and submit your paperwork so we can complete your employee file and get you up and running. The information below will help you make sure that you don’t miss anything important.

Act now! Delays in submitting your required paperwork can impact when you are paid and your access to CHEO systems.

  • Sign your letter of offer
  • Submit required documentation, including proof of immunizations!

Getting the paperwork done

Most required documentation will be collected and completed in Workday (HR solution). Please follow the instructions provided by your Recruitment Coordinator.

Forms required by Occupational Health & Wellness (OHW) will need to be returned by email.

Documents to send to OHW@cheo.on.ca:

 Mandatory Health Surveillance Profile

  • Complete form and send to OHW@cheo.on.ca,along with proof of having received the mandatory immunizations.

Note: If you are unsure of your immunization status, there are many ways to obtain copies of your immunization history.

  • Visit Ottawa Public Health for more information.
  • For proof of COVID-19 vaccinations, visit COVID-19 Proof of Vaccination - Canada to download your vaccine certificate.

These documents are mandatory for all new hires and must be submitted to Occupational Health & Wellness by email, fax (613-738-4826) or in-person and not via Workday.

Preparing for your first day

What to wear

No need to wear your finest clothes on your first day. Business casual will do just fine, unless other instructions have been provided to you ahead of time.Please refrain from wearing strong fragrances. CHEO is a scent-free hospital.

Where to go

Your manager/supervisor will confirm via email where you should go on your first day. If you have not received this information a few days ahead, reach out to them directly.

How to get to CHEO

CHEO's main campus is located at 401 Smyth Road. You can easily get to CHEO by public transit or car. There are also bike racks spread across the campus. CHEO also has several clinics and programs located in Ottawa, Cornwall and Renfrew. Visit the Map and locations page.

Where to park

If you are coming to CHEO's main campus, you may park in the Visitor Parking - Lot A which is adjacent to the Garry Cardiff Wing (only allowed on Day 1 — refer to Maps and locations page above). If you are coming to another CHEO location, your supervisor will inform you where best to park.

Important: make sure to bring your ticket with you when you enter the building!

How to protect yourself & others

If you are feeling unwell, we ask that you report your illness through the CHEO Screening. This will ensure you are emailed directions about when you can return and how to work self-isolate when you do return.

How to find your way around CHEO

Wayfinding signs are typically found at the beginning and end of hallways, as well as next to elevators. You might want to check out this short video before the big day.

Navigation tip: What is referred to as “Level 1” is actually the basement. What is called “Level 2” is actually the main floor.

Where to eat

  • Grab a bite at CHEO's Rainbow Cafeteria or at Oasis Coffee Shop. Both accept cash, Interac and credit. Visit our Maps and Locations page for help finding them.
  • On the menu:
    • The Rainbow Cafeteria on Level 1 serves hot and cold meals made using fresh, high quality ingredients. It has a sauté station with made-to-order lunch dishes, a sandwich station and a grill, as well as Pizza Pizza products, Timothy's coffee and David's Tea.
    • The Oasis Coffee Shop on Level 2 near the front entrance and across from the main elevators. On the menu: Mr. Sub and Pizza Pizza products, as well as baked goods and Starbucks coffee.

Skip the line! You can place an online lunch order for the Rainbow Cafeteria and pick up your pre-paid items using the Caf-to-go mobile ordering service. This is available weekdays, during the lunch hours.

Confirm details for your Corporate Orientation session

You will attend the Corporate Welcome and Safety Habits training on your start date.

To confirm details, please refer to the Welcome to CHEO email that you would have received from the Talent Acquisition team.

Should you have any questions about your onboarding or orientation, please respond directly to your welcome email.

Your first day and week

The big day has finally arrived and you are probably experiencing all sorts of emotions — excitement at the thought of embarking on a new adventure and perhaps also a bit of nervousness. This is absolutely normal!
The information below will help you navigate this special day.

Your first day tasks

1. Before the Corporate Orientation Session, make sure to pick up your CHEO ID badge at Security and Parking between 7:30-9am:

  • Security and Parking is located on Level 2, room 2335, in the corridor between Emergency and the X-ray department).
  • You must have submitted your photo to IDcards@cheo.on.ca (not just in Workday) for your badge to be created.
  • This step should be completed first as other services (such as IS, parking, etc.) may require you to show your badge.
  • If you have not picked up your ID badge, Security will distribute badges at 11:30 during the Corporate Orientation.

Important: you must wear your CHEO ID badge at all times when on-site.

2. Attend the Corporate Orientation and Safety Habits Sessions

  • Corporate Orientation: 9am-12pm
  • Safety Habits and Joy at Work: 12:30-3:30pm

Your welcome letter provides room location details.

3. At the end of the Corporate Orientation Day:

  • The IS team will be available at the end of the day to provide you with your email and network access details. You will need to change your temporary password.
  • If you have any IS questions or access issues after that, you can reach them at the Helpdesk window (Level 3 in Max Keeping wing). It is open between 8:00am and 4:00pm.
  • Important: never share your network password with anyone

Your first week tasks

 Sign up for parking (if required) by visiting the Parking and Security Office (Level 2).

  • Important: your CHEO badge will be used to tap into the staff parking lots

 Update the Staff Directory information on CHEOnet so your colleagues can find you and reach out. Click on your name located in the top right corner of the CHEOnet homepage and edit your information:

 Ensure your Personal & Emergency Contact information is up to date and tagged appropriately (mobile for your cell number, etc.) in Workday. 

  • NOTE: Your contact information in Workday will be used to populate the Everbridge software. Everbridge provides emergency alerts to all staff and medical staff for major emergency codes.

 Set up your inclusive email signature following the approved template

 Create an account on the Employee Family Assistance Program through Homewood Health using code: CHE902.

 Download The HOOPP Handbook and find out how your HOOP pension can help provide financial security when you retire.

  • Enrolment is mandatory if you have been hired at CHEO in a permanent full time position.
  • Enrolment is optional if you are a part-time or other non full-time CHEO employee. Connect with your Employment Services Officer for more information.

Your first month

During your first month, everything will likely still feel pretty new. Your main focus should be on completing the mandatory training requirements and getting acquainted with your new colleagues, environment, and culture.

Complete your mandatory training

 Attend the Corporate Welcome session – full schedule available in previous section.

 

 Complete your mandatory online modules through Workday Learning:

  • Each individual module must be completed in one sitting. Modules range from 30-60 minutes and will take about 5 hours in total to complete
  • Consult with your leader to determine the best way to work this into your work schedule
  • If you have any questions, contact the Organizational Development and Learning team at odl@cheo.on.ca

 

 Attend the in-person Safety Habits training - you can find more info on this (including the link to register!) in the "Your First Day" section.

 

 Attend Epic Training as per registered date/time (if applicable)

 

 Complete your role-specific and department/team orientation (as applicable)

Get acquainted 

 Familiarize yourself with your new surroundings

 

 Get to know your team members /co-workers and key stakeholders

  • During your lunch and breaks, try to really put yourself out there
  • Find out about their interests, look for things you have in common

 

 Be clear on what is expected of you; discuss and set goals and objectives with your leader


 Ask questions - Lean on your ‘onboarding buddy’ or other trusted colleagues


 Seek feedback to make sure you are on the right track


 Listen, observe, learn… and takes notes!


 Continue to work your way through CHEO Tools and Policies and to learn more about CHEO

 

 Participate in a one-month check-in with your leader. Here are a few questions you can expect:

  • How are you? How has your first month been?
  • What’s going well? What are the highlights of your experience so far?
  • How is the new job and CHEO lining up to your initial expectations?
  • Are there any challenges you’re currently facing?
  • How do you feel within the organization? Within the team?
  • Do you have a clear understanding of what the expectations of your job are?
  • Do you have the tools you need to do your job?
  • Do you receive sufficient feedback/guidance?
  • What are the goals you would like to set for yourself?
  • Is there anything else you would like to share at this point?

Your first three to six months

At this point, you are probably beginning to feel more comfortable in your position. You have plenty of opportunities to demonstrate your skills and feel like you are truly making a difference. What’s more, you are more at ease with your colleagues, environment, and culture and that makes things a lot easier.

Ease into life CHEO

 Let CHEO benefit from your fresh eyes and new perspectives and share what you’ve noticed that could be improved with your leader/team and offer a possible solution or two.

 Continue to meet regularly with your leader and participate in formal team meetings to discuss communication, roles and responsibilities as well as expectations


 Keep building your network by taking every opportunity to get to know your colleagues and reaching out to others working in different units/departments


 Ask for help – and offer it too when you see a coworker in need


 Stay on top of the latest news by checking out CHEOnet and other communication channels:CHEO public website, bulletin boards, the weekly CEO update (email), Town Halls, social media platforms, etc.


 Participate in organized activities and social gatherings, such as Wellness Events, Mindfulness Meditation, Town Halls, etc.

 

 Continue to set aside time to read through relevant documents and materials

At the three-month mark

 Sit down with your leader to talk about your first 3-month experience and to review your performance so far (probation period)

 

 Seek out new learning opportunities if additional training is required

 

 Volunteer for new responsibilities, only if you believe doing so won’t result in overextending yourself

 

 Set goals for yourself with the help of your leader

 

Important reminder: Coughlin & Associates will mail your benefit card a few weeks after your benefits become active (i.e. at the end of the probation period).

At the six-month mark

 Reflect on your experience so far and fill out CHEO Onboarding Survey to share your perspective. You will receive a link to this anonymous survey via email.

  • Big on improvement: We strive to continuously improve at CHEO, and value your input to help improve the onboarding process for the next employees that will join.

 Make sure to track the improvements you may have already implemented in the “Improvement Zone” in CHEOnet.

Your one-year anniversary

Congratulations to you! You have done and learned so much over the last twelve months and you are hopefully filled with pride. This is the perfect time to take a look back on your accomplishments and think about the path ahead.

At this stage, you will be invited to attend a one-year anniversary celebration with the CEO, along with others who were hired around the same time as you.

In preparation for this event, reflect on your experience so far:

  • What are you most proud of? What has been your greatest accomplishment?
  • What have been some of your ‘aha’ moments? What are your top lessons learned?
  • Is there anything that you still find unclear or confusing at work?
  • What makes you feel motivated at work? What makes you feel demotivated at work?
  • How has CHEO made you feel valued? In what ways might we improve?
  • What else would you like to know about CHEO?
  • Let’s pretend… You have just been appointed CEO of CHEO. What is the first thing you would do, fix or make better?

Move forward

The future is ripe with possibilities. Here’s your chance to set a course for your future.

Sit down with your leader to talk about your performance and growth:

  • Review your work objectives and determine if you achieved them
    • Celebrate your successes
    • Learn from your experiences
  • Reflect on foundational competencies and job-specific skills — the ones you master and those you may want to enhance
  • Set new objectives for the next cycle and determine what you would like to achieve in the upcoming year at work
  • Identify development opportunities you would like to pursue

Frequently asked questions

Logistics

How can I get a parking pass?

CHEO has a limited number of parking spaces for use by staff, medical staff and learners working on site. If you would like to apply for a parking space, you must bring your valid CHEO ID badge to the Security Office on the 2nd floor of the hospital (near the Emergency department). You will be asked to complete a Parking Enrolment Form.

CHEO also offers a secure bike compound, located beside the Helicopter pad. Go to the Security office to get a key. A cash deposit of $20.00 is required, and $15.00 will be refunded when you return the key.

Where can I find an ATM?

Automated banking machines (ATMs) are located beside each of the parking pay station kiosks, and one is located in CHEO’s main entryway.

Where can I get a locker?

You can get a locker key from the Security Office (near the Emergency department). A $15.00 deposit is required, and is refunded to you when the key is returned to Security.

How should I dress to come to work?

Clothing should be business casual, of a length that presents a professional image, clean and in good repair. Sweat pants, tank tops, denim jeans, mini-skirts, short/cycling/sports shorts and leggings are not considered appropriate attire.

Uniforms/scrubs with appropriate pediatric prints are encouraged.

On casual Fridays, staff members who are not required to wear uniforms at work may dress more casually.

How do I register my ID badge for scrubs?

To access scrubs, you will need to fill out the OR Scrub Portal form on CHEOnet and confirm size, badge/ID number and unit. Once your registration is processed, you will be able to swipe your badge at the scrub machine to access your scrubs.

How do I submit a ticket to Information Services (IS)?

If you are having trouble with a computer at CHEO, you must log a ticket with the IS Helpdesk (under “My Apps”.) For urgent support, you can speak to them at x4357 (HELP), leave them a voicemail quickly at x3098.

Scheduling

How often do I get paid? Where can I access my paystubs?

You are paid on a bi-weekly basis, every other Friday, via direct deposit.  You may view your paystubs online in Workday or by using the direct links posted on CHEOnet and the Staff Portal. Remember to check your pay on a regular basis and follow up with your leader if you have any questions.

(Hint: Add the "Pay" app to your home page in Workday! Find the steps in this tipsheet. If you have more questions about navigating Workday, visit the BOP Learning Centre.)

How do I access my schedule? How do I fill out my timesheet?

All time entry will be done in:
  • Workday (for non-unionized employees with simple scheduling)
  • UKG (for unionized employees or complex scheduling)

Who should I notify if I can’t come into work?

You should report absences, as soon as possible prior to the start of the shift, and according to your unit or department's reporting protocol.

How do I go about requesting time off?

Time off requests will also be done in:
  • Workday (for non-unionized employees with simple scheduling)
  • UKG (for unionized employees or complex scheduling)

How many breaks am I allowed during a shift? What about meal time?

For non-union and/or management staff:
  • Employees are allowed paid coffee break periods during a normal shift (tour of duty) on the basis of fifteen (15) minutes for each 3.5 or 4 hour half shift.
  • Provision is made for each member to have one unpaid half-hour meal break on each 7.5 or 8 paid hours shift.
For unionized staff: refer to your respective collective agreement for specific provisions relating to these matters

Am I allowed to do overtime?

For non-union and/or management staff:
  • Under normal circumstances, employees should not be requested to work overtime except when it is deemed absolutely necessary. All overtime work must be approved in advance and documented by the unit/area director/manager/supervisor/clinical leader. Authorized overtime will be compensated for hours worked in excess of a normal day, i.e. 7.5 or 8 or 11.25 hours of work per shift exclusive of meal breaks.

For unionized staff:

  • Refer to your respective collective agreement for specific provisions relating to these matters

What statutory holidays am I entitled to?

CHEO recognizes nine Statutory Holidays during the calendar year:

  • New Year's Day
  • Family Day
  • Good Friday                      
  • Victoria Monday                              
  • Canada Day (July 1)        
  • Labour Day                        
  • Thanksgiving Day            
  • Christmas Day
  • Boxing Day

The Hospital also recognizes two Other Holidays during the calendar year:

  • Easter Monday
  • Civic Holiday (1st Monday of August)

Each year, all permanent full time CHEO employees, are also granted one additional paid Float Holiday. This day is to be taken on a day mutually agreed upon between the employee and the supervisor.

What services are available through the Employee and Family Assistance Program?

CHEO staff/medical staff along with their dependent family members have access to a full range of health and wellness services as part of our benefits package provided under the Employee and Family Assistance Program (EFAP) through Homewood Health.

CHEO staff/medical staff and their families can call the numbers below any time day or night, 365 days of the years. In an emergency, immediate support is available. Please be assured when you use the program, it is in complete confidentiality.

What pension benefits am I entitled to as a member of HOOPP?

The Healthcare of Ontario Pension Plan (HOOPP) is one of Canada’s largest and most respected defined benefit (DB) pension plans.
